Process automation: stop copying data from one system to another

We build workflows on an automation platform or in custom code that move data from forms, inboxes and apps to where it's needed — with AI only where something has to be read or sorted.

01Overview

Process automation

Who it’s for

Any business where someone spends part of every day moving data around by hand. Orders from Shopify get re-keyed into Xero. Website enquiries arrive by email and are then pasted into a spreadsheet. Supplier invoices are dug out of inboxes and forwarded to the bookkeeper at month end.

These jobs are dull but they matter. When the person who does them is off sick or on holiday, things slip through. An automated workflow does them the same way every time, and tells you when something goes wrong.

What we do

We start by talking to whoever runs the process today. We note every step, every system and every exception — the exceptions matter most, because that’s where automations break. The result is a workflow diagram that you approve before anything is built.

Then we pick the right tool for the job. A cloud automation service suits simple cloud-to-cloud connections, an automation platform running on an EU server works well for higher volumes or when data should stay in the EU, and custom code makes sense when the logic is unusual. Everything sits in accounts registered to your business.

AI goes in only where it earns its place: working out what an email is about, pulling an order number and total out of a PDF invoice, summarising a long message, drafting a reply. Wherever a mistake costs money or goodwill — payments, quotes, decisions about a customer — we add a human approval step.

Every workflow has error handling. If an app doesn’t respond, it retries, then sends an alert saying what happened and where the data is waiting. You also get documentation: what the workflow does, how to pause it and who to ask.

How we work

  1. Describe the process in a few sentences. You’ll have a quote within 24 hours.
  2. We map it with the person who does it and draw the diagram.
  3. From that, we agree the scope and a fixed price with you.
  4. After the contract, we connect your live systems, test on a copy of your data and go live.
  5. For 30 days we fix anything that comes up in day-to-day use, free of charge.

Typically 5–15 working days per process. It takes longer when one of the systems has no API or when access has to be arranged through an outside supplier.

What we need from you

  • An hour with the person who currently does the work.
  • Real examples: a few emails, invoices or orders, including awkward ones.
  • Access to the systems, or permission to create technical accounts with limited rights.

Technology and integrations

The usual suspects are web forms, email inboxes, online shops (e.g. Shopify, WooCommerce), accounting software (e.g. Xero, QuickBooks, Sage), CRMs and Google Sheets. If it has an API, we can almost certainly work with it. Where there’s no API we fall back on CSV imports, email parsing or browser automation — and we’ll tell you up front that those links are more fragile. Any provider handling personal data signs a data processing agreement (Article 28 GDPR).

What we don’t do

  • Automate a process nobody can describe. We sort it out first.
  • Leave workflows running without alerts or documentation.
  • Build automations that break a platform’s terms, such as scraping a site that forbids it.
  • Act as your accountant or tax adviser — we move the data, we don’t decide how it’s booked.

Questions we hear most often

Can't find your question? Write or call — we'll give you a straight answer, no strings attached.

01Which automation tool should we use?

Cloud automation services are quick to start with, but costs grow with usage. An automation platform running on an EU server helps with data control and higher volumes. If you already pay for an automation tool, we'll usually build there. You get a recommendation with reasons in the quote.

02What happens when one of the apps changes its API or goes down?

The workflow retries, and if that doesn't help it stops and sends an alert explaining what failed. Data isn't lost — it waits in a queue. Under ongoing support we update the workflow when a provider changes its API.

03Which process should we automate first?

One that happens often, follows clear rules and currently involves retyping data. One workflow that runs reliably beats five half-finished ones, so we start with a single process.

04Should AI send messages to customers on its own?

It can, but we recommend starting with AI drafting and a person approving. Once the results are consistently good, you can decide to fully automate selected replies. Either way, customers should know when a reply was written by AI.
