Who it’s for
Businesses where one customer lives in five places. The enquiry came through the website form, the conversation carried on in WhatsApp, the order sits in Shopify, the invoice in Xero and the sales notes in someone’s notebook. When the customer rings, nobody has the full picture.
This is worth doing whether you already have a CRM the team avoids because everything has to be typed in by hand, or you’re about to introduce one for the first time.
What we do
We start with a review. We list the systems you use and trace the customer’s path from first contact to invoice and after-sales. Then we decide which system is the master record for which data. Skip that step and integrations soon start overwriting good data with bad.
Next comes the field map: what arrives from the form, what from the shop, how the lead source is recorded, when a new contact is created and when activity is added to an existing one. You approve it before we build.
We build integrations on APIs and webhooks, so data flows in near real time. Typical links include website form and chat into the CRM with a source tag, shop orders onto the customer record, bookings into the contact history, and payment status from your accounting software. Where needed, we migrate data from your old system or spreadsheets — after de-duplication and a trial run.
Every integration is tested on a copy of your data. We switch sync on only when the results match what you see in the source systems.

Technology and integrations
We work with widely used CRMs (e.g. HubSpot, Pipedrive, Salesforce), shop platforms (e.g. Shopify, WooCommerce), booking systems and accounting packages (e.g. Xero, QuickBooks). In practice, if a system has a documented API, we can connect it. Simple links are built on an automation platform running on an EU server; complex ones as code running on your server or cloud account. Marketplace integrations such as Amazon or eBay follow each platform’s developer rules, with keys kept in your own seller account.
What we don’t do
- Resell CRM licences or recommend tools because of a commission.
- Connect systems before agreeing which one holds the master record.
- Migrate data without a trial run and your sign-off.
- Set up bookkeeping rules or tax treatment — that’s for your accountant.

02What if our software has no API?
We look for another route: CSV export and import, reading automated emails, or browser automation. These work, but they're more sensitive to changes on the software's side, so we flag that before quoting.
03Can you move our data from a spreadsheet or an old CRM?
Yes. We remove duplicates, standardise phone numbers and addresses, run a trial migration and only move everything once you've checked it. The old system stays untouched until you sign off.
04Who can see our customer data during the project?
We work through technical accounts with the minimum permissions needed. API keys live in a password manager, and you can rotate them when we finish. We sign a data processing agreement.
