AI adoption for your business: from a task review to tools your team actually uses

We find where AI genuinely helps, run a pilot in one team, set up proper business accounts and train people on them. Training is part of the rollout, not the end of it.

01Overview

AI adoption for your business

Who it’s for

Businesses that are past the experimenting stage. A few people use AI assistants, someone gave a lunchtime demo, but day-to-day work looks exactly the same. Nobody is sure which subscriptions are worth paying for, who has access to what, or whether customer data is ending up somewhere it shouldn’t.

A rollout makes sense when at least one team handles a lot of repetitive work: answering enquiries, writing quotes, product descriptions, sorting documents, pulling reports out of spreadsheets.

What we do

We begin with a task review. We sit down on a video call with people in the chosen team and map what fills their week. From that list we pick two or three tasks where AI can help and where the result is easy to check.

Next come the tools. We look at what you already pay for first. We move people from personal to business accounts, set permissions, and switch off model training on your data wherever the provider allows it. We also check whether the provider offers a data processing agreement, which UK GDPR and EU GDPR expect when a supplier handles personal data for you.

For repeat tasks we build assistants: fixed instructions, document templates and a knowledge base made from your own material. A quote or a complaint reply then comes out consistent, whoever happens to write it.

The pilot runs for a few weeks in one team. At the end you get a straightforward report: what worked, what didn’t, how much upkeep it needs, and which team could go next.

If it turns out a task would be better fully automated, such as routing website enquiries into your CRM, we’ll suggest that as a separate automation project.

How we work

  1. A free quote within 24 hours, based on a short description of your business.
  2. Task review: conversations with the team and a shortlist.
  3. Tool recommendations and a pilot plan with success criteria, which you sign off.
  4. Set-up of accounts, assistants and interim rules.
  5. Training for the pilot team on their own work.
  6. The pilot itself, short check-ins and a final report.

The whole process typically takes 20–40 working days. It runs longer if the pilot spans more than one team or if buying licences needs board approval.

What we need from you

  • One person on your side to coordinate the pilot and join short check-ins.
  • An hour or so with a few people from the team.
  • Admin access to Microsoft 365 or Google Workspace, or the person who holds it.
  • Sample documents and material for the knowledge base.

Technology and integrations

We work with business plans of popular AI assistants, the AI features in Microsoft 365 or Google Workspace, and AI features inside systems you already run. When an assistant needs data from another application, such as Xero or your CRM, we connect it through an API — practically any system that offers one can be linked.

Every account is set up in your company’s name. Access, configuration and the knowledge base stay with you.

What we don’t do

  • Roll AI out everywhere at once. We start with one team.
  • Build our own language models.
  • Make decisions about special category data, such as health information, without your data protection lead.
  • Give legal advice. We document how the tools are configured; the legal assessment belongs with your solicitor or adviser.

Can't find your question? Write or call — we'll give you a straight answer, no strings attached.

01Where does an AI rollout actually start?

With a list of tasks, not a list of tools. We talk to people in the chosen team and write down what they do repeatedly, how long it takes and where errors creep in. Only then do we match tools to that list.

02Will we have to buy new software?

Not necessarily. Microsoft 365 or Google Workspace may already include AI features you aren't using. If a new tool is justified, we explain why and show the licence cost separately in the quote. Licences are bought in your company's name.

03Who should own AI internally once you've finished?

One person with time set aside for it, not necessarily from IT. We hand over admin access, a write-up of the configuration and a short list of things to review every few months.

04What happens if the pilot doesn't work?

Because the success criteria are agreed before we start, the outcome is clear either way. If a task isn't a good fit for AI, we say so and either pick another one or stop after the pilot. You pay for the stages completed.
